Overview

RDrive Field provides the tools project teams need to capture, manage and review information throughout the delivery of a project.


Available through both the RDrive website and RDrive mobile app, Field connects site and office teams within the same project environment, providing access to drawings, locations, forms, inspections, issues and other project records.


Whether information is being captured on site through the mobile app or reviewed and managed through the website, updates contribute to the same central project record, helping teams maintain consistent, accessible and up-to-date project information.


What can I do in RDrive Field?

Depending on your project setup and permissions, RDrive Field can be used to:

  • Access projects you have been given permission to view
  • Navigate project locations and drawings
  • View and complete forms and inspections
  • Record and manage issues
  • Capture photos and supporting evidence
  • Add comments and project information
  • Review existing project records
  • Track work assigned to you or your team
  • Update progress against project activities where configured
  • Access project information while working on site
  • Synchronise updates with RDrive


The features available to you will depend on how your organisation has configured RDrive and the permissions assigned to your account.


Getting started

Before using RDrive Field, you will need an active RDrive user account and access to the relevant project.


Download and install RDrive App on your supported mobile device and sign in using your RDrive account details.

Once signed in, you will be able to see the projects that have been made available to you.


If a project you expect to see is not available, contact your RDrive Project Administrator to confirm that you have been added to the project and have the appropriate permissions.


Downloading a project

Before working with a project in RDrive Field, the project information needs to be downloaded to your device.

Downloading the project makes the information required for field use available within the app and allows RDrive Field to keep a local copy of relevant project data.


Depending on the size of the project and your connection, the initial download may take some time.

Where possible, we recommend completing the initial project download using a reliable Wi-Fi connection before beginning work on site.


Navigating your project

Once a project has been downloaded, RDrive Field provides access to the areas of RDrive relevant to field-based working.


Your project may contain:

Locations and drawings

Navigate through the project's location structure and drawings to find the area of the project you are working on.

Locations help organise project information and allow forms, issues and other records to be associated with the correct area.


Forms and processes

Complete the forms and processes configured for your project.

These may include activities such as:

  • Quality inspections
  • Checklists
  • Site inspections
  • Installation records
  • Testing and commissioning
  • Health and safety records
  • Progress records
  • Other project-specific workflows

The exact forms available will depend on your project's configuration.


Issues

Issues can be recorded directly from the field and associated with the relevant project location.

Depending on the project setup, you may be able to add information such as descriptions, photographs, responsibility and other required details.

This helps create a clear record of what has been identified, where it was identified and the action required.


Capturing information on site

RDrive Field is designed to allow information to be captured at the point where work takes place.

Rather than recording information separately and updating project systems later, users can enter information directly into RDrive while carrying out their work.


For example, you may:

  1. Navigate to the relevant location.
  2. Open the required form or process.
  3. Complete the required information.
  4. Capture photographs or other supporting evidence.
  5. Submit or update the record.

This creates a structured project record that can then be reviewed by other authorised RDrive users.


Working with project information

RDrive Field isn't only used to create new information.


You can also use the app to review information already recorded against the project, subject to your permissions.

This can help site teams understand what has already been completed, identify outstanding work and access supporting project records without needing to return to the office.


Working offline

Construction and field environments do not always have reliable internet connectivity.


RDrive Field is designed to support field working by allowing downloaded project information to be accessed from your device.

Where supported, information can be captured while connectivity is unavailable and synchronised once a connection becomes available again.


It is important to regularly synchronise your device so that you receive the latest project information and your own updates are returned to RDrive.

Synchronising your project

Synchronisation keeps the information held on your device aligned with the project information in RDrive.


Regular synchronisation helps ensure that:

  • You receive the latest project information.
  • Updates made by other users are available to you.
  • Information you have recorded is uploaded to RDrive.
  • Office and field teams have access to current project records.


We recommend synchronising before beginning work and again when you have finished, particularly if you have been working with limited or no connectivity.



Permissions and access

What you can see and do within RDrive Field is controlled by your RDrive account, project membership and permissions.

This means two users working on the same project may see different information or have different available actions.


If you cannot access a project, location, form or function that you believe you should have access to, contact your Project Administrator.


RDrive Field and RDrive Web

RDrive Field and the RDrive website work together as part of the same RDrive environment.


RDrive App is focused on accessing and capturing project information while working in the field.

RDrive Web provides wider access to project management, administration, configuration, reporting and other functionality depending on your role.


Information captured through RDrive Field becomes part of the wider RDrive project record, allowing field activity to feed directly into project oversight and reporting.


Good practice when using RDrive Field

For the best experience:

  • Download your project before arriving on site where possible.
  • Synchronise before starting work to obtain the latest information.
  • Make sure you are recording information against the correct project and location.
  • Add clear photographs and supporting information where required.
  • Synchronise regularly when connectivity is available.
  • Complete a final synchronisation after finishing your work.
  • Keep RDrive Field updated to the latest available version.
